The 2010 HHS Annual Conference Business Meeting came to order at 5:00 p.m. on June 19, 2010 at the Cacapon State Park in Berkeley Springs, WV.
Officers present were: Joe Hinchman, President; Paula Hinchman Willis, Secretary; and Ron Tebben, Treasurer. Vice President, Margie Hinchman was absent.
Others present were: Byron and Pam Hinchman Skinner; Norman and Nedra Hinchman; Mary Hinchman; Kevin Hinchman; Marlon Willis; Tom and Joan Hinchman Gibson; Tony and Linda Haberkorn; Don and Wilma Hinchman; Sharon Hinchman Tebben; Esther Hinchman; Judy Hinchman Brammer; Walter Hinchman; Terry and Tony Burns.
The business meeting opened with a brief history of the HHS. The HHS’ first meeting was held in 1993 in Lewisburg, WV. Esther Hinchman is the only member since the inception of the HHS who has missed no meetings.
The Secretary’s report for the 2009 meeting was read. Ron Tebben motioned to accept the minutes, as prepared. Esther Hinchman seconded the motion. The report was unanimously accepted.
The Treasurer’s report was presented by Ron Tebben. Tebben reported that the HHS net worth was approximately $18,704. Paula Willis motioned to accept the minutes, as prepared. Joe Hinchman seconded the motion. The report was unanimously accepted. During the Treasurer’s report, discussion regarding the tax exempt status was held. The HHS is exempt from WV state and federal taxes. As most of the expenses (e.g., newsletter) (with the exception of expenses incurred in the venue of the annual HHS meeting) are incurred in the Commonwealth of Kentucky, it was suggested that an investigation be conducted to determine whether it would be advantageous for the HHS be also exempt from Kentucky taxes. Paula Willis volunteered to conduct a preliminary investigation and report the findings to the President for incorporation in the newsletter. Don Hinchman motioned that a preliminary investigation to determine if the HHS can also be exempt from KY states be completed. Norman Hinchman seconded the motion. Motion carried.
Sharon Tebben provided a report on the Hinchman gravesite (the William Hinchman stone). As the stone has eroded, Sharon reported that a granite marker (24″ long, 12″ wide, 4″ thick) in the amount of $318 (which includes taxes) be purchased. Mary Hinchman motioned that the granite marker be purchased. Terry Burns seconded the motion. Motion carried.
Due to health reasons, Vice President Margie Hinchman was again unable to attend this meeting. Discussion was held. Marlon Willis motioned that Margie Hinchman be allowed to continue her position as Vice President but to let her voluntarily resign. Wilma Hinchman seconded the motion. Motion carried.
Ron Tebben conducted discussion on current HHS membership. In addition to those who attend the HHS meetings, there are members who are unable to attend. Those attending the 2010 HHS Conference are as follows: Florida: Norman and Nedra Hinchman, Halie Hinchman, Kelly Hinchman, Stefan Hinchman, Emilie Hinchman. Indiana: Tony and Terry Hinchman Burns. Kentucky: Joe and Mary Hinchman, Kevin Hinchman, Marlon and Paula Hinchman Willis. Ohio: Tom and Joan Gibson, Tony and Linda Haberkorn, Don and Wilma Hinchman. Pennsylvannia: Dan and Cheri Hinchman Widzowski, Sophia Widzowski, Stephanie Widzowski. Virginia: James and Connie Savage. West Virginia: Matt, Elizabeth and Oscar Hokom, Ron and Sharon Hinchman Tebben, Esther Hinchman, Judy Bramer. Arizona: Walter Hinchman. Arkansas: Pam and Byron Skinner.
Mary Hinchman provided an update on the DNA project.
Ken Hinchman initially agreed in 2009 to host the 2011 HHS Conference in Michigan. As Ken Hinchman was not present at the 2010 meeting nor provided an update for the 2011 meeting, Mary Hinchman suggested, and motioned, that the 2011 conference be changed. Marlon Willis seconded the motion. Motion carried. Discussion was held. Paula Hinchman Willis volunteered to host the 2011 HHS meeting in Ashland, KY (June 17-18, 2011). Ron Tebben motioned that the 2011 conference be held in Ashland, KY. Marlon Willis seconded the motion. Motion carried. Terry Hinchman Burns volunteered to host the 2012 HHS meeting in Jeffersonville, IN (June 15-15, 2012). Ron Tebben motioned that the 2012 conference be held in Jeffersonville, IN. Pam Hinchman Skinner seconded the motion. Motion carried.
Prior to the closure of the meeting, Ron Tebben was acknowledged for his participation and awards for the National and two World Judo competitions in 2009.
Marlon Willis motioned that the business meeting be concluded. Esther Hinchman seconded. Motion carried. The meeting concluded at 5:5 p.m.
